How to import servers to Kenya: PVoC, IDF and delivery

Kenya is East Africa’s data hub, and the two things to get right are the KEBS PVoC certificate and the import declaration. Here is the tax picture, the conformity process, and the route from Hangzhou to Nairobi.

PVoC, IDF and the tax picture

Kenya requires a Pre-Export Verification of Conformity (PVoC): a Certificate of Conformity issued in China by a KEBS-appointed agent (such as SGS, Intertek or Bureau Veritas) before the goods ship. An Import Declaration Form (IDF) is filed through the KenTrade single window before arrival.

On import you pay 16% VAT plus import duty and levies, including the Import Declaration Fee and the Railway Development Levy. We prepare the documents the PVoC inspection needs and coordinate with your clearing agent.

  • PVoC: Certificate of Conformity from a KEBS agent before shipment.
  • IDF via KenTrade before arrival.
  • VAT 16% + import duty + IDF fee + Railway Development Levy.

Delivery and clearance

We ship every server by air. Your forwarder flies the shipment to Kenya and delivers it to your site, and door-to-door delivery takes 1–2 weeks.

Clearance goes through KRA against the IDF and PVoC. Your forwarder or clearing agent files the declaration and settles VAT and duty on DAP/DDP terms.

The import flow, step by step

We sell EXW Hangzhou. For first-time importers we help appoint a forwarder who arranges the PVoC, books the air freight, exports from China, clears KRA, and delivers to Nairobi or Mombasa.

Because the PVoC is issued before shipment, we prepare the documentation early. You see the landed cost, including VAT and duty, before anything ships.

  • Send your spec. We reply within 1 hour during business hours (Mon–Fri 09:00–19:00 Beijing time, UTC+8) with an EXW Hangzhou quote.
  • We assemble, burn-in 24–72 h, and prepare documents for PVoC.
  • PVoC issued in China; IDF filed before arrival.
  • Forwarder flies the shipment to Kenya, clears KRA, delivers DAP/DDP to Nairobi.

Frequently asked questions

What is PVoC and do I need it for servers?

PVoC (Pre-Export Verification of Conformity) is a Certificate of Conformity issued in China by a KEBS-appointed agent before the goods ship. Regulated goods, including servers, need it to clear KRA. We provide the documents the inspection needs.

What taxes apply in Kenya?

Expect 16% VAT plus import duty and levies, including the Import Declaration Fee and the Railway Development Levy. We quote the equipment landed cost and your agent confirms the exact charges at clearance.

How long does shipping from China to Kenya take?

We ship every server by air, and the forwarder delivers door to door in 1–2 weeks once the PVoC is issued.
